MEMORANDA OF THE SOCIETY
1. Name of the Society: Name of the Society shall be ST. XAVIER'S ALUMNI ASSOCIATION.
2. Registered Office: The Registered office of the ST. XAVIER'S ALUMNI
ASSOCIATION is situated at St. Xavier's High School, Patna, P.O. GPO, PS: Gandhi Maidan, District: Patna and if need be the Registration Department and other related Departments shall be intimated 15 days prior in case of any change of the given venue and address.
3. Field of Work: Entire India.
AIMS AND OBJECTIVES OF THE SOCIETY
To work for improvement in the field of education.
To work for the welfare of poor and needy students for school education.
To work for spread of moral values among school students.
To promote high ideals of its alma mater and its motto 'For God and Country'.
To organize sports and other social functions.
To give awards, prizes, and certificates to distinguished teachers and persons for distinguished service to society.
To award scholarships, prizes, and incentives to deserving students.
To provide help to needy member of staff of educational institutions.
To promote any type of research work in the field of education.
To take any lawful action to promote the aims and objectives of the association.
To acquire by gift, purchase, lease or otherwise and property movable or immovable which may be necessary for the fulfillment of its objectives.
To receive grants, subscriptions and donations for the purpose of meeting the objectives of the society.
RULES AND REGULATIONS OF ST. XAVIER'S ALUMNI ASSOCIATION
Name of the Society:ST. XAVIER'S ALUMNI ASSOCIATION:
Definitions:
Society: - Means ST. XAVIER'S ALUMNI ASSOCIATION.
Committee: - Means Executive Committee.
Office Bearers: - Means President, Vice-President, Secretary, Treasurer, Moderator, and Joint Secretary.
Year: - Means the financial year from 1st April to 31st March.
Act: - Means Society Registration Act - 21, 1860.
School: - Means St. Xavier's High School, Patina.
Member: - Means any person appearing on the register of the St.Xavier's Alumni Association.
Membership:-
Any person who has attained the age of fifteen (15) years and who has passed out from St. Xavier's High School, Patna or who has studied in St. Xavier's High School, Patna for a minimum period of three years and can abide by the rules and regulation of the society shall be the members of the society. Willing persons shall have to submit their application for getting membership of the society in a specific application format designed by the society. Every member shall pay Rs. 100/- if registered within one year of leaving the school and Rs. 500/- if registered after one year of leaving the school for life membership.
Cancellation of Membership:-
Cancellation of the membership shall be done on the following grounds.
Resignation by the member.
In case of death.
Punished by the court.
By a resolution of the Executive Committee in the event of activities prejudicial to the aims, objectives, and interests of the society.
Formation of the Society:-
General Assembly of St. Xavier's Alumni Association will consist of all the existing members entered on the 'Register of Members'.
The Executive Committee would mean the Executive Committee of the St. Xavier's Alumni Association constituted under the rules.
It would consist of the following office bearers:
- President.
- Vice Presidents.
- Secretary.
- Treasurer.
- Joint Secretaries.
- Moderator.
The Executive Committee members will be elected in the General Assembly meeting.
In case of consensus over any candidate he would be deemed to have been elected.
The Executive committee will have a one year term and there will be a gap of at least one term after two consecutive terms in office of any office bearer.
In the event of any casual vacancy occurring, the committee, the president shall nominate / co-opt any members to fill the vacancy for the remaining period of term.
Rights and Duties of the office bearers:
President shall -
a) Call and preside over the meetings of the General Assembly and the Executive Committee
b) Perform such other duties as ordinarily pertain to his office.
c) Take final decisions in case of equal votes in either side.
d) Put signature in the Executive Register.
Vice- President shall-
a) Call and preside over the meetings of the General Assembly and the Executive Committee
b) Perform such other duties as ordinarily pertain to his office.
Secretary shall -
a) Prepare agenda and invite suggestion for agenda from the members.
b) Arrange Meetings.
c) Mention the activities of the committee in the Executive Register and put his signature after getting the signature of the President in the Executive Register.
d) Circulate decisions of the Executive committee of the members within a fortnight
e) Maintain the record, registers, files, and papers and also keep them safely.
f) Correspond to letters and queries on behalf of the society.
g) Responsible for the maintenance of minutes books and day to day effective functioning of St. Xavier's Alumni Association which ordinarily pertain to his office.
h) Audit the income and expenditure of the society.
i) Appoint and terminate the membership on the advice of the Executive Committee.
j) Act for the welfare of the society.
k) Perform other activities seeking advice of the President.
Treasurer shall -
a) Keep an account of income and expenditure of the society.
b) Audit the income and expenditure of the society and produce it in the meetings on behalf of the society.
c) Issue receipts taking subscriptions.
d) Deposit the cash of the society in any government recognized Bank Account or a Post Office Account designated by the Executive Committee.
e) Keep up to Rs. 5000/- in hand for casual and emergent expenses.
Moderator shall -
a) Function as the Returning Officer in case of election of office bearers of the Executive Committee.
b) Moderate over all the activities of the society.
c) Use his office for liaison work between school and society.
d) Suggests ways and means to improve functioning of the society.
Joint Secretary shall -
a) Assist the Secretary in his work of the management of the society.
Rights and Duties of the Executive Committee :-
To look after, manage, and supervise the management and property of the society and to spend money required for that purpose.
To invest the fund of the society prudently and to sell, vary, and transfer such investment from time to time.
To appoint any sub-committee when necessary with such powers as the committee may deem fit.
To accept donations, subscriptions, fees, and grants from the Government or any other Body / Trusts or an individual.
To be responsible for movable and immovable property of the society.
To do all such lawful acts and things as are incidental or conducive to the attainment of the purpose specified in the Memorandum of Association.
To make repeal or alter rules and regulations for the management of the society and its units by a majority of at least 2/3rd of the members of the Executive Committee present and having voting right.
To expel any member of the society on being found working against the aim, objectives, and the interest of the society.
Rights and Duties of the General Assembly :-
To decide the general principles and policies regarding the functions of St. Xavier's Alumni Association.
To nominate / elect the office bearers of the Executive Committee.
To advise and suggest to the school authority ways and means to promote the objectives of the motto of the school i.e. 'For God and Country'.
Meetings :-
Meeting of the Executive Committee shall be conducted at least once in every month.
Meeting of the General Assembly shall be held at least once in a year.
Emergency meeting of the Executive Committee may be conducted any time as per requirements.
Special meeting of the General Assembly shall be conducted any time.
Prayer Meeting :-
The Secretary shall be bound to call the meeting within a month in case 1/3rd of the members of the committee submit a written petition citing valid reasons as may be deemed fit. The applicants shall reserve the right to call the meeting for discussing various points if the Secretary fails to arrange the meeting within the stipulated period.
Notifications of Meetings :-
Notifications for the meetings of the Executive Committee shall be given 7 days prior to the meeting.
Notifications for the meetings of the General Assembly shall be given 15 days prior to the meeting.
The Secretary may summon at any time a meeting of the committee after giving a minimum of 48(forty eight) hours notice.
Notifications of meetings shall be given in Notice Board or by the Post.
Quorum :-
At least 1/3rd of the total members of the Executive Committee having voting rights present in person shall constitute a quorum of the committee meeting.
The quorum of the General Assembly meetings shall be a minimum of 50 members of St. Xavier's Alumni Association having voting rights present in person.
In case the quorum is incomplete the meeting will be adjourned and no quorum will be required on the adjourned date.
The Secretary may summon at any time a meeting of the committee after giving a minimum of 48(forty eight) hours notice.
